The opportunity

We're looking for an organized and detail-oriented Marketing & Sales Operations Specialist based in the Philippines to support Creo Collective’s growth.


This is an operations and systems role. The Marketing & Sales Operations Specialist manages HubSpot systems, workflows, reporting, and operational processes that support marketing and sales performance. This role helps keep campaigns, reporting, attribution, and lifecycle management organized, accurate, and scalable as the business grows.


The ideal candidate is highly organized, dependable, and comfortable owning the operational backbone that keeps campaigns, pipeline visibility, and reporting running smoothly for both internal teams and leadership.


This is a remote contract role designed for someone who wants to be a true extension of the team. This means collaborating closely, taking ownership, and contributing beyond a traditional outsourced role.



Key responsibilities

HubSpot management and CRM operations 

  • Manage contacts, workflows, forms, imports, dashboards, and user permissions in HubSpot.

  • Maintain CRM accuracy across lead stages, opportunities, proposals, SOWs, and prospect activity. 

  • Support integrations and technical troubleshooting between HubSpot and connected tools.

  • Support marketing-to-sales handoffs and pipeline visibility.

  • Maintain forecast dashboards and reporting visibility for leadership.

  • Maintain database organization and lifecycle consistency across teams.


Automation and workflow management 

  • Build, test, and QA workflows for nurturing, scoring, lifecycle progression, and internal alerts.

  • Develop lead routing and form automation processes. 

  • Maintain lifecycle stage accuracy across contacts and opportunities.

  • Troubleshoot workflow and automation issues proactively.

  • Support webinar and event automation, including confirmation, reminder, and follow-up workflows.


Campaign execution and email operations 

  • Build segmented lists for campaigns, nurture programs, and event communications. 

  • Support campaign setup, A/B testing, and UTM implementation.

  • Monitor deliverability, bounce rates, and sender reputation.

  • Ensure campaigns and assets are properly tagged, organized, and tracked.


Website, landing pages, and conversion tracking

  • Build and update landing pages and embedded forms in HubSpot.

  • Verify tracking code implementation across websites and campaigns.

  • Support conversion and event tracking setup, and ensure forms function properly across platforms.


Reporting, attribution, and analytics 

  • Build dashboards and reports for marketing, sales, and leadership teams to report on at various intervals (i.e. weekly, monthly, quarterly, and yearly).

  • Track campaign attribution and asset performance. 

  • Monitor funnel movement and lifecycle progression, and maintain reporting consistency across HubSpot.


Outbound campaign management and support 

  • Support outbound business development efforts.

  • Own LinkedIn outreach campaigns, including manual prospect outreach, tracking activity, and maintaining outreach records.

  • Execute and manage outreach activities in line with campaign goals and cadence.

  • Maintain outreach tracking, status updates, follow-ups, and performance reporting.

  • Recommend process improvements or automation opportunities based on performance data.


Who you are 

  • Based in the Philippines. 

  • Able to work Eastern Time Zone and participate in team meetings, respond to messages, and be available for questions. 

  • Highly organized, detail-oriented, and dependable. 

  • Clear and proactive communicator with strong follow-through.

  • A problem-solver who brings a continuous improvement mindset.

  • Comfortable owning systems and processes, and interested in being an embedded member of a growing agency team.


Qualifications

  • Fluent in English — both written and verbal.

  • 3+ years of experience in marketing operations, sales operations, or a similar role. 

  • Hands-on experience managing HubSpot, including workflows, forms, dashboards, and reporting.

  • Strong understanding of campaign tracking fundamentals, including UTM parameters, attribution, and lifecycle stages.

  • Comfortable working with marketing and productivity tools, and willing and able to learn new systems and workflows quickly.

  • Skilled in maintaining accurate reporting and translating data into clear updates for leadership.


Not required, but a plus

  • Exposure to B2B technology or SaaS industries.

  • Experience with LinkedIn outreach or sales prospecting tools.

  • Comfortable with fast-paced, client-facing environments where adaptability and collaboration are key.


Performance expectations

Though a contract position, to succeed in this role, we expect:

  • Availability during working hours (9 a.m.-5 p.m. ET) - This means checking email to ensure timely responses to team and clients, watching GChat for internal messages, etc.

  • Friendly and approachable, your primary focus is to build relationships internally, and get things done quickly and efficiently.

  • Transparent and honest communication with your entire Creo team regarding availability and accessibility.
